The Problem

Apex Dental had run its patient booking on a legacy platform for over a decade. The system worked, barely, but it was aging: no modern integrations, painful reporting, and a vendor who stopped improving it years ago. The practice wanted to move to a newer platform without losing patient records, without interrupting the front desk, and without a single missed appointment slipping through the gap. The real risk in any dental migration is data: insurance details, appointment history, and contact preferences spread across old fields that do not map cleanly onto a new system.

The Solution

We ran the project in three stages. First, an audit of the old data — we mapped every field in the legacy database to its equivalent in the new system and flagged the ones that did not line up, so nothing would be guessed during the move. Second, a dry run on a staging environment with a full copy of the data, migrated, reconciled, and verified field by field. Third, the cutover: done on a quiet evening, with a rollback plan ready in case anything surfaced. The migration itself was completed in under four hours, and the practice opened the next morning with no disruption to bookings.

Technologies Used

Data mapping scripts, a staging environment with a full copy of production data, field-by-field reconciliation, and a tested rollback plan — with end-to-end testing alongside the front desk team before go-live.

Business Impact

We trained staff on the parts that changed and monitored for two weeks while the practice confirmed everything from patient notifications to payment links. Zero downtime, zero lost records, and a system that finally reports properly. The practice now books, confirms, and follows up automatically, and the data they always wanted for planning is one report away. The new platform also opened doors the old one closed: online payments, automated reminders, and a patient portal that reduces no-shows. The practice is now planning its second location, and the booking system will be shared across both from day one. We documented every step of the migration so the same playbook can run again.
